What personal data do we process about you and why?

  1.  When you apply for a job vacancy, we process the following information about you for the purposes of selection for vacant positions within the Company and evaluating your candidacy. 

Data categories: name, surname, date of birth, age, email, phone number, your CV and the information it contains about work experience (employer, duration of employment, position, responsibilities and/or achievements), education (educational institution, period of study, acquired education and/or qualification), professional development (completed training, acquired certificates), language proficiency, IT skills, other competencies, as well as hobbies, personal skills, and any other information you provide in your CV, cover letter, or other application documents. Information about the person recommending the candidate or providing feedback, their contact details, the content of the recommendation or feedback, a summary of the interview with the candidate, insights and opinions of the selection committee members, and the results of candidate testing.

Legal basis for data processing: Your consent expressed by submitting application documents (GDPR Article 6(1)(a)) and the legitimate interest of the employer in selecting the most suitable employee (GDPR Article 6(1)(f)).

Data retention period: for the duration of the selection process for your chosen position and 1 month after the completion of the selection.

    1. When your candidacy is selected at the end of the selection process, we process the following personal data for the purposes of identifying potential conflicts of interest and preparing documents required for employment. 

    Data categories: name, surname, position applied for, a copy of the identity document, residential address, CV and the information it contains, a copy of documents confirming education from the educational institution, signature, declaration of conflicts of interest, results of sanction checks, copies of documents confirming the birth, adoption, or guardianship of children (copies of systematic records, etc.), and copies of documents proving that the individual is a lone parent. Copies of documents confirming capacity for work (disability) level, work restrictions (certificates about pregnancy, etc.), child disability, or care of a close family member, copies of medical records or certificates containing relevant information. Health data and data related to criminal records (only in cases expressly required by law) are collected and processed only when necessary for the selection process for a specific job position and as permitted by applicable laws.

    Legal basis for data processing: intention to enter into a contract with you (GDPR Article 6(1)(b)), obligation to collect information according to the law (GDPR Article 6(1)(c) and (GDPR Article 6(1)(c), GDPR Article 9(2)(b), Labor Code, Occupational Safety and Health Act).

    Data retention period: Data collected for the purpose of identifying conflicts of interest is processed for 3 years from the submission of the declaration of interests; data for preparing employment-related documents is processed for the duration of the employment contract.

    Where do we obtain information about you?

    Generally, we obtain your data directly from you—when you respond to our job advertisement and/or submit your CV, application form, and/or other application documents (such as a cover letter or other materials).

    We may also receive information about your application, your CV, and/or other application documents from entities providing job search, recruitment, and/or mediation services, such as the Employment Service under the Ministry of Social Security and Labour of the Republic of Lithuania, recruitment or employment agencies, online job search portals, and specialized career social networks (e.g., LinkedIn).

    Additionally, we may obtain certain information about you from third parties, such as individuals recommending you or current or former employers. However, we will only collect such information if you provide us with consent to contact your designated employer and/or other individuals to obtain a recommendation or feedback about you.

    Who do we share your information with?

    We may share your data with third parties who assist us in the candidate selection process or who provide us with services related to selection, candidate assessment, and internal administration. These parties may include personnel selection and/or assessment service providers, database software suppliers, database administration service providers, data center, hosting, and cloud service providers, etc. In each case, we provide the data processor only with the data necessary to fulfill a specific assignment or to provide a specific service. Our appointed data processors may only process your personal data according to our instructions and cannot use it for other purposes or share it with other parties without our consent. Moreover, they are required to ensure the security of your data in accordance with applicable laws and the written agreements we have with them.

    If you participate in a selection for a managerial position, we may submit your application and your data to our controlling companies that participate in the assessment of managerial candidates and/or decision-making processes regarding career choices according to the procedures applicable within our corporate group.

    Data may also be provided to competent governmental or law enforcement authorities, such as the police, law enforcement agencies, or supervisory authorities, but only upon their request and only when required by applicable laws or in cases and procedures specified by law to protect our rights, as well as the safety of our clients, employees, and resources, or to assert, provide, and defend legal claims.

    Will your data be transferred outside the European Economic Area?

    Your data will be processed within the territory of the European Economic Area and will not be transferred to third countries.

    What rights do you have?

    GDPR and other legal acts grant you rights, specifying the cases in which you can exercise them, the procedures you must follow, and exceptions where you cannot exercise your rights. When permitted by law, you can:

    • access your personal data we process: You have the right to obtain confirmation from us on whether we process your personal data and to access the personal data we process, as well as information about the purposes of data processing, categories of processed data, categories of data recipients, data retention period, and sources of data;

    • withdraw your consent: You can withdraw your consent for us to further process your information when we use your data based on your consent;
    • file a complaint with a supervisory authority: If you believe we are processing your data in violation of data protection laws, we always encourage you to contact us directly first. If you are not satisfied with our proposed resolution or believe we will not take necessary actions based on your request, you have the right to file a complaint with the supervisory authority, which in Lithuania is the State Data Protection Inspectorate (L.     How can you exercise your rights?

    To exercise the rights mentioned above, you must: 

    • submit a request to exercise your right personally to: Ukmergės st. 280, Vilnius.
    • submit a request via email to dpo@compensalife.lt.

    To protect the data of all our candidates from unauthorized disclosure, we will need to verify your identity upon receiving your request to provide data or exercise any of your rights. For this purpose, we may ask you to provide an identification document.

    Upon receiving your request regarding any of your rights and verifying your identity, we are committed to responding without undue delay, but in any case, within 30 days from the date of receiving your request, providing you with information about the actions we have taken in response to your request. Depending on the complexity and number of requests, we have the right to extend this period by up to 2 months, notifying you of this before the end of a 30-day period and stating the reasons for such an extension.

    If your request is submitted electronically, we will also respond to you electronically, unless it is cannot be done (e.g., due to the large volume of information) or if you request a different method of response.

    We will refuse to fulfil your request with a reasoned response when circumstances specified in the legal acts are identified, informing you in writing about this.
